Event Coordinator

Summary

The Event Coordinator is responsible for coordinating, planning, and executing major CHE events, including the CHE Annual Conference in Colorado Springs and Glenwood Springs, as well as the Strategic Planning Retreat and other various events throughout the year. This role ensures that events are designed and implemented to reflect CHE’s mission, engage clients, promote preferred providers, and foster community. The Event Coordinator manages all aspects of event planning, from logistics and communications to provider/vendor engagement, budgeting, and onsite leadership, while ensuring events run smoothly, stay within budget, and achieve high levels of satisfaction for clients, providers, and staff.

Compensation Range

Pay Range: $23.00 - $25.00/hour (dependent on qualifications and budget)

Hiring Timeline

Key Responsibilities

- Plan, coordinate, and execute statewide CHE events such as Annual Conferences, Strategic Planning Retreats, and other various events - Develop and manage event timelines, task lists, registration processes, and onsite support strategies - Coordinate logistics including venues, catering, signage, supplies, and technical needs - Collaborate across departments to ensure strong alignment between event goals, mission, and promotional strategies - Provide onsite leadership and warm, solution-focused support to families, staff, and contractors - Recruit and manage event support staff, ensuring thorough preparation and successful onsite operations - Manage event budgets, process invoices, and ensure financial stewardship - Collect feedback post-event and analyze data to improve future events and contractor experiences

Location

- Remote position, with travel required for relevant CHE events. - In-person co-working space is available in Colorado Springs. - Full-time, salaried position; some weekend or evening hours during events - Must be based in Colorado and eligible to work in the U.S. - Event-day physical requirements include lifting boxes (up to 25 lbs), standing for extended periods, and walking long distances

Preferred Qualifications

- Experience working with homeschool, education, or nonprofit communities - Familiarity with contractor background check and compliance practices - Budget management and vendor negotiation experience

Required Qualifications

- 2+ years of experience in event planning, logistics, or program coordination - 2+ years experience in contractor/vendor management, compliance, or onboarding - Excellent communication skills (written and verbal), with a warm and professional tone - Demonstrated ability to handle multiple complex projects simultaneously - Familiarity with tools such as Google Workspace, Slack, and Trello
